CaterZen’s Data Export Reports give you powerful access to the data behind your catering business. Each report allows you to export detailed information—such as customer lists, orders, payments, and communication activity—into an Excel file for easy analysis and record-keeping.


You can filter by date, location, group, or event type, and most reports can be emailed directly to you or your team.

Use these reports to track performance, identify opportunities, and streamline your catering operations.


Contact List Report

Generate a full list of your CRM contacts, including company, address, and contact details.
Use filters to view prospects, past customers, or contacts who haven’t ordered recently.


Company List Report

Export all company records from your CRM, including total orders, total spend, and tax-exempt status. Ideal for analyzing top accounts or segmenting businesses by industry or size.


Delivery Address List

View all saved delivery addresses for your customers, including delivery notes, latitude, and longitude. Helpful for updating or confirming delivery zones and frequently used addresses.


Order List Report

Export a detailed list of all catering orders in your account. Filter by date, order type, event type, group, or location to analyze sales, track performance, and compare delivery vs. full-service revenue.


Customer Reactivation Report

Identify customers who haven’t ordered within a selected time frame.
Use this report to create re-engagement campaigns or assign follow-up tasks to your sales team.


Fax Status Report

Review the send and receive status of any faxes processed through CaterZen.
Check timestamps, success indicators, and total pages sent.


US Mail Report

Track the status of mailed marketing letters.
You can preview mailed pieces, confirm mailing types, and view USPS tracking updates.


Pending Mail Report

See marketing letters that are queued but not yet mailed.
You can cancel, preview, or remove a customer from a mailing before it’s sent.


Phone Notification Status Report

View the call history for phone notifications triggered when new orders are placed.
Includes timestamps, phone numbers, and call completion details.


SMS Text Message Status Report

Track the status of automated text messages sent for order confirmations and delivery updates.
See the message body, confirmation codes, and delivery timestamps.


Prep Menu Item List

Export all prep items configured in your menu.
This is ideal for production planning or kitchen prep list management.


Menu Item List

Generate an export of all menu items in your CaterZen account.
Useful for reviewing item setup, pricing, and active/inactive menu lists.


Credit Card Expiry List

See all saved credit cards in your CRM that are expiring within a selected date range.
Allows you to proactively contact customers to update their payment details.


Lead Generation Form Responses Report

Export all responses from lead forms embedded on your website.
This report captures every submission detail to help track and follow up on new leads.


Email Status Report

View the delivery status of emails sent from CaterZen—including delivered, rejected, dropped, or bounced messages.
Ideal for troubleshooting communication issues or verifying delivery to customers.


Tips for Using Data Export Reports

  • All reports can be downloaded as Excel files or emailed directly from CaterZen.

  • Most reports include filter options (date range, location, customer group, etc.)—remember to check the box beside each filter you wish to use.

  • Use reports together for deeper insights. For example:

    • Combine Customer Reactivation with Order List to find lapsed high-value clients.

    • Pair Company List and Credit Card Expiry to audit accounts before billing cycles.
