This feature ensures that critical customer information is easily visible and accessible, helping you provide top-notch service with ease.


Key Features of Highlighted Notes:

  1. Increased Visibility – Highlighted Notes appear prominently in the customer profile, ensuring important details—like dietary restrictions or specific preferences—are easily noticeable.

  2. Persistent Placement – Unlike standard notes, Highlighted Notes always appear at the top of the customer's stats section for quick reference.

  3. Multi-User Access – Any of your team with the right permissions can add, edit, or remove highlighted notes, keeping everyone aligned on your customer needs.


Highlighted Notes will also appear in the Customer Details Box above the order entry page, allowing you to see or add

 important details while taking an order. This feature needs to be turned on in the admin section. See this link for instructions on enabling this setting.



How to Use Highlighted Notes:

Adding a Highlighted Note from the Order Entry

When in the Order Entry Screen you can add a New note for your Customer by clicking Create a New Note at the top right.  


Adding a Highlighted Note from the CRM Tab

  1. Navigate to the CRM Tab and select your customer.  

  2. Click the Notes icon from the CRM icons at the top.   

  3. Choose Create a Note for (Customer).   

  4. Enter a Note Subject Line and the Note Details (e.g., "Customer is allergic to shellfish" or "Prefers almond milk in coffee") and check the Highlighted Note box to mark it as a Highlighted Note.

  5. Click Create This Note to save.   

Editing or Removing a Highlighted Note:

  1. Locate the Highlighted Notes at the top of the Notes section. If your list is long, use the scroll feature to navigate.    

  2. Click on the Note in the list you want to edit.  

  3. The note will open and you can update the details (e.g., customer switched to soy milk).     

  4. Uncheck to box beside Save as a Highlighted Note if the note is no longer needed.

    • Unchecking a Highlighted Note will only remove the note from the highlighted list. The note itself will still remain in the system for reference. This feature allows for better control over which notes are emphasized without permanently losing important information.

  5. Click Update This Note to save. 


Highlighted Notes Order Overview

The order of highlighted notes is based on when a note was most recently highlighted or edited, not when the note was originally created.

  • The most recent highlighted note appears at the top and pushes previous highlighted notes down.
  • If you un-highlight a note and then highlight it again, it will move to the top of the list.
  • This ensures that the most relevant or recently emphasized notes are always displayed first.



Where You Will See Highlighted Notes:

  • Customer Profile Overview: Always at the top of the Notes section for quick visibility.

  • Mobile Order Taking Screen: Highlighted Notes appear in the mobile interface, ensuring staff on the go have key details.

  • Order Entry & Management Screens: If a customer has a Highlighted Note, an indicator appears within the order interface, preventing oversight of crucial details.


Best Practices for Highlighted Notes: ✔ Keep notes clear and concise—short reminders work best. ✔ Regularly update highlighted notes to ensure they remain relevant. ✔ Remove outdated notes to keep CRM information accurate. ✔ Ensure employees have access to manage notes so everyone stays informed.
