Overview

The Pending Mail Report allows you to view all marketing letters that are queued but have not yet been mailed through CaterZen. This report displays the mailing status, letter type, scheduled mail date, and any associated errors—giving you full control over your pending marketing communications.


Use this report to preview, cancel, or manage queued letters before they are sent.


Accessing the Report

  • Go to the More tab in your CaterZen account.

  • Select ReportsData Export Reports.


  • Click Pending Mail Report.

  • Choose your Filter Parameters (see below).

  • Click Generate Report.



Understanding the Report

The exported Excel file includes key information about pending letters, such as:

  • Date Queued

  • Scheduled Mail Date

  • Customer Name and Company

  • Type of Letter (e.g., Thank You, Reactivation, Referral)

  • Error Status (if applicable)

  • Action Options (Delete, Preview, or Remove from Marketing Program)

Each record gives you visibility into your upcoming mail queue so you can take proactive action before anything is mailed.


Common Use Cases

  • Pre-Campaign Review: Verify all letters in your queue before they’re mailed to ensure correct recipients and templates.

  • Error Management: Identify letters flagged with errors and correct them before sending.

  • Customer Preference Updates: Remove customers who opted out of marketing mail before their letters are sent.

  • Letter Preview: Download a PDF proof to confirm design, personalization, and message accuracy.


Exporting or Sharing

At the top of the page, you can:

  • Print, Download, or View in Excel for further review.

  • Email the Report to yourself or another team member.



Best Practices

  • Check this report regularly before scheduled mailings to ensure accuracy and compliance.

  • Delete outdated or incorrect queued letters to prevent accidental mailings.

  • Combine with the US Mail Report to confirm which queued letters were successfully mailed later.
