Overview
Recurring orders let you automate repeat catering orders—daily, weekly, monthly, or on any custom interval—so you never miss a customer’s regularly scheduled event. In this guide, you’ll learn how to configure, review, and manage recurring orders directly from a customer’s CRM record.
Step-by-Step Instructions
Open the customer’s CRM record
Click CRM in the main menu.
Search for the customer’s name and click their record link.
Access the Orders list
Click the Orders icon next to their name to display all orders for that customer.
- Recurring orders are highlighted in yellow. The original order that created the recurring schedule shows an orange icon.
Schedule a new recurring order
Find the original order you want to repeat.
Click the Recurring Order icon next to it.
Configure recurrence settings
A pop-up will appear—set each option as needed:
Repeats:
Daily
Weekly → choose the day(s) of the week
Monthly → choose a specific day of the month or e.g. “second Tuesday”
Yearly
Interval:
Repeat every "X" days/weeks/months
Starts on:
The date of the first generated occurrence
Ends:
After X occurrences
On [Date]
Summary shows your selected schedule.
Save and generate
Click Save.
You’ll see two confirmations: one indicating generation has started and another when it’s complete.
Identify and edit your schedule
The original order now displays an orange Recurring icon.
Future occurrences appear in yellow; their Recurring icon is blocked out (they can’t be edited individually).
To update the schedule, click the orange icon on the original order.
Verify in the Orders overview
In the Overview tab, recurring orders show an “R” suffix on the Order ID.
In View All Orders, recurring entries are highlighted in yellow.
Best Practices
Preview before saving: Double-check your “Repeats” settings in the Summary to avoid unintended schedules.
Communicate changes: Notify customers if you adjust their recurring order dates or frequency.
Use clear naming conventions: In your internal system, add notes to the original order (e.g., “Weekly Lunch – Recurring”) for easy reference.
Audit regularly: Monthly, review all active recurring orders to ensure they still meet customer needs.
Frequently Asked Questions
Q: Can I cancel a future occurrence without ending the entire series?
A: Yes—find the specific future order in the CRM or View All Orders (yellow), then delete that single instance. The series will continue as scheduled.
Q: How do I stop a recurring schedule altogether?
A: Open the original order’s orange Recurring icon, set Ends to On [today’s date] or After 0 occurrences, then Save.
Q: Can I edit details (menu items, quantities) for future instances?
A: No—only the original order’s schedule can be modified. To change details, cancel the series and recreate it off an updated order.
Conclusion
Automating repeat catering orders saves time and reduces manual entry errors. By following these steps, you’ll set up, adjust, and maintain recurring schedules directly within the customer’s CRM record—keeping both your team and your customers on track.
