Not every contact needs to complete an entire sequence — and CaterZen's CRM Sales Pro gives you multiple ways to gracefully stop automated outreach when it’s no longer needed.


Unenrolling contacts keeps your campaigns smart and respectful. Whether a lead replies, converts, or you manually remove them, Sales Pro ensures they no longer receive automated messages or follow-up tasks.


When Contacts Are Automatically Unenrolled

CRM Sales Pro is designed to recognize natural engagement and automatically stop outreach when appropriate:

  • When a Contact Replies
    If a contact responds to any email in a sequence, they’re immediately unenrolled.
    This ensures genuine conversations take priority over automation.

  • When a Sequence Completes
    Once a contact finishes all steps in a sequence — including tasks and emails — their status updates to Finished, and they won’t receive additional communication from that sequence.


How to Manually Unenroll a Contact

From a Contact Record

  • Open the Contact Record.

  • Click Sequence Enrollment to view active and past sequences.

  • Find the sequence you want to stop and click Unenroll.

  • The contact’s status will update to Unenrolled, and no future tasks or emails will trigger.

From a Call Task

If you’re completing a call and the contact mentions they’re no longer interested:

  • When finishing your Call Task, look for the Unenroll from Sequence option.

  • Select the sequence and click Unenroll.

  • When you save your task, the contact is automatically removed.

This feature makes it easy to stop outreach the moment a customer conversation changes direction.


Viewing Unenrolled Contacts

You can track unenrolled contacts directly from the CRM → Sequences dashboard:

  • Filter contacts by Status: Unenrolled.

  • View when and why they were unenrolled (manual, reply, or completion).

  • Export the data to Excel for reporting or follow-up strategy reviews.


Best Practices for Managing Unenrollments

  • Respond personally to contacts who reply — since they’re automatically unenrolled, it’s your cue to take over manually.

  • Use unenrollment data to identify conversion points (e.g., at which step most leads reply or buy).

  • Regularly review unfinished sequences to ensure contacts aren’t lingering unnecessarily.

  • If a contact unsubscribes or opts out of marketing messages, ensure they’re removed from all active sequences.
