Overview

Connect Twilio to use CRM Sales Pro’s calling features in CaterZen. Your team can keep Customer conversations and follow-up activity connected to the CRM instead of managing them separately.

An active CRM Sales Pro license is required to use these features.

Before You Begin

Each CRM Sales Pro user needs their own Twilio account connected in CaterZen. Prepare the following for each user:

  • CaterZen login and access to the required settings.
  • Twilio account and payment method.
  • Twilio Account SID, Auth Token, and Phone Number.
  • The number that should receive forwarded calls.
  • Your business’s preferred voicemail and recording settings.

Twilio charges are separate from your CaterZen subscription. Keep your Auth Token private.


Create Your Twilio Account and Select a Number

Visit Twilio to create your account and complete the verification steps.

Review the account’s trial restrictions and upgrade before using it for regular Customer calling.

In Twilio, go to Phone Numbers → Manage → Buy a Number. Search for your preferred area code, select a number suitable for calling, and complete the purchase.


Connect Twilio to CaterZen

  1. Go to Admin → Global Settings → Twilio Settings.
  2. Enter your Account SID, Auth Token, and Twilio Phone Number.
  3. Click Connect Twilio Account.
  4. Check for the connection confirmation.

Complete the connection separately for each CRM Sales Pro user.


Review Recording, Forwarding, and Voicemail

Before your team begins calling Customers, review:

  • The call recording notice and greeting.
  • Where incoming calls should be forwarded.
  • How long calls should ring before voicemail.
  • The voicemail greeting.
  • Where voicemail notifications should be sent.

Use a greeting that clearly identifies your restaurant or catering team. Contact CaterZen Support if you need help reviewing these settings.


Twilio and Google Serve Different Purposes

Twilio supports CRM Sales Pro calling.

The Google integration connects your Gmail account for CRM email and automated Sequence emails. Connecting Twilio does not complete your email setup.

If you will enroll contacts in Sequences with automated emails, connect your Gmail account through the Google integration first.

Check Your Setup

Before using the connection for Customer outreach:

  1. Make a test outbound call.
  2. Call your Twilio number to check forwarding.
  3. Leave a test voicemail and check the notification.
  4. Review the resulting call activity in CaterZen.

If something does not work, recheck the credentials, phone number, account status, and forwarding settings.
