The Task Completion & Follow-Up Notes process in CaterZen helps you stay organized by tracking completed tasks and documenting important updates. This guide walks you through marking tasks as complete, adding follow-up notes, updating statuses, and ensuring seamless workflow management  


Access the CRM

1. Navigate to the CRM Tab: From the main dashboard, select the CRM tab to view customer records and associated tasks.




2. Select the Customer: Use the search function or scroll through the client list to find the specific client associated with the task.



3. View Tasks: Within the customer's profile, click on the Tasks icon to display all tasks linked to that customer.


Complete the Task

1. Locate the Task: Ensure you understand the task requirements, including any notes or deadlines.

2. Perform the Task: Carry out the necessary action—send the email, make the call, or complete the to-do item.

3. Mark as Completed: After performing the task, check the Still To Do box.


Pro Tip: Utilizing standardized subject lines for tasks can enhance consistency and streamline task management.



4. Update Note for Task: Once you mark the task as complete, the checkbox will change from ‘Still To Do’ to Completed, and a pop-up box will appear prompting you to update any final notes about the completed Task. 



5. If a note was previously created, you will have the option to edit or add additional information. If no note exists, the field will be blank.

6. Enter any relevant details or updates related to the task in the provided text field.

7. If you choose not to add a note, click the Cancel button. This will close the pop-up without saving any changes.




8. Save Note & Create Task – If you need to create a follow-up task based on the note, you can do so. Click Save Note & Create Task, and a new pop-up box will appear, allowing you to enter details for the new task. 




9. Create This Note – Clicking this button will save the note for the recently completed task, ensuring all relevant details are recorded.



10. Employee Assignment & Completion Tracking – The name of the employee originally assigned to the task will appear under the Details section. If a different employee completes the task, their name will be recorded as the one who completed it.


Editing or Reopening a Task

If a completed task needs revision:

  1. Locate and select the task that needs changes.
  2. Click Edit Task to make necessary adjustments.
  3. Save updates, and unmark the Completed checkbox and the task will be moved back to Still To Do.


Best Practices

  • Consistent Documentation: Always include detailed notes for each task to provide context for future reference.
  • Timely Updates: Mark tasks as completed immediately after execution to maintain an accurate task list.
  • Utilize Reminders: Set up automated reminders for critical tasks to ensure timely follow-ups.
  • Regular Reviews: Periodically review all pending tasks to prioritize and delegate effectively.
