This article will go over the icons that are found under a clients name in the CRM tab.  The icons found in the CRM client's record are:  Stats, Notes, Tasks, Meetings/ Events, Gmail, Orders, Quotes, Refunds, Contracts, Invoices, Credit Cards, Delivery Addresses, Mail Sent, Send Mail, Formed Responses, Recorded Calls, Deposits, Permission Based Menus, and Documents.   Anytime you put your mouse over any of these icons the name of the icon will appear.




1.  Click on the CRM tab and select CRM and Search for your client's name.  Then click on the client's name.



2 - Below the search box in the CRM tab you will see the icons appear to the Right of the Client's name.



3.  Anytime you scroll your mouse over an icon the name of the icon will appear.



4.  This next section will show the Icons name and explain what that icon does.   Some will have a video showing you how to use the icon as well.


 A - Stats Icon:  The Stats icon will show the client's first date to order. The current number of orders. The current amount spent. Most recent order. Contact information for the clients. Any notes that have been highlighted for the client. 


The Stats icon displays key information about the client, including:

  • First Order Date: The date when the client first placed an order.
  • Number of Orders: The total number of orders made by the client.
  • Total Amount Spent: The current total amount the client has spent.
  • Most Recent Order: Details of the most recent order placed by the client.
  • Contact Information: The client's contact details.
  • Notes: Any highlighted notes associated with the client.



By default the Stats Icon will appear when you first search for the client's record.

B - Notes Icon:   The Notes icon will show any notes that you want to keep under the clients record.   The notes by default are private and can not be viewed by the customer.   But you can choose to email the notes to the client as well as make the note visible to the client.   You can also highlight the note so that the note will appear under the Stats icon.

C - Task's Icon:  Please note that we have a separate article that will just go over how use the Task Icon.    The Task icon will allow you to schedule an email task, call task or to do task.   You can see what type of task you have assigned for the client, due date and details.   You can see if the task has been completed or still needs to be done or if it has been completed, edit the task, add a note to the task and delete the task.

D - Meetings/Events Icon:  Please note that we have a separate article that will just go over how use the Meeting/ Events icon.    The Meeting/ Events icon will allow you to schedule a meeting or event.   You can see when it was created, the start date/ time and end date/time and details.   You can edit the meeting/ event or delete.

E - Gmail Icon:   The Gmail Icon will allow you to send emails to your customer and keep the email record in the CRM tab.   The customer's reply will also be recorded in the CRM tab.  You can also look at past emails that have been sent to the client.  To learn how to activate this feature you will need to see the article on Gmail.

F - Order Icon:   The Order icon will show you all the past orders the customer has created.  Here you can open the order (in the order details page), delete the order or make the order reoccurring.  You can also start a new order under this icon as well for the client.

G - Quotes Icon:  The Quote icon will show you all the past quotes the customer has created.  Here you can open the quote (to the Quote Function drop down box) or delete the quote.  You can also start a new quote for this customer as well.

H - Refund Icon:  The refund icon will show you any refunds you have issued to your client.  Here you can open the refund and delete the refund.

I - Contracts Icon: The Contract icon will show you any contracts you have sent to your client.    It will show the status of the contract as well.   Here you can open the contract and delete the contract.

J -  Invoice Icon:   The Invoice icon will show you all the past orders the customer has a created invoice for.  Here you can open the invoice to view the invoice.  From the invoice page you can choose to email or download the invoice.

K - Credit Card Icon:   The Credit Card icon will all you to view the credit card(s) the clients has stored.  Here you can also add a new credit card or send a request for the client to add a new credit card.   You will only be able to see the last 4-digits of the credit cards the client has stored.

L -  Delivery Address Icon:   The Delivery Address icon will allow you to store all the different delivery addresses the clients has had food delivered to.  Here you can create a new delivery address, edit an existing delivery address, delete a delivery address or view the google map directions on how to get from your location to the delivery address location.

M - Mail Sent Icon: The Mail Sent icon will allow you to see any past mailings that have been sent to the client.   It is a history record of all the mailings CaterZen has sent on your behalf to the client.

N - Send Mail Icon:   The Send Mail icon will allow you to create a custom letter to send to a specific customer or to a group of customers.   Letters are $1.51 per letter to be mailed.   Letters will include your color logo.   The $1.51 will be deducted from your variable fee fund.

O - Formed Responses Icon:  Form Response Icon:   The Form Response icon will all you to send surveys to your customers.  If you are interested in turning on these surveys please schedule a session with Jillian at www.BookTimeWithJillian.com

P - Recorded Calls Icon:  Recorded Calls Icon:   The Recorded Calls icon will only appear if your package includes the call feature.  If you would like to learn more about this feature or turn on the feature please schedule a session with Jillian:  www.BookTimeWithJillian.com .  Here you can look to see how many conversations you have had with this client.   You can listen to the conversation, email the conversation and delete the conversation.

Q - Deposits Icon:  Deposit Icon:   The Deposit icon will show you if a deposit has been made.   You can not collect a deposit under this icon.  Here you can look to see if the deposit has been applied to the payment as well as view the deposit that was created.

R - Permission Based Menus Icon:  Permission Based Menus icon:  This icon will allow you to select customers that have permission to view specifically created menus.   This setting will allow specific clients to place orders online through your CaterZen account for specific menus but will keep the menu hidden from clients that do not have permission to access the menu.  Once you click on the Icon then a pop up box will appear. Check the box off for the menus that the customer is allowed to view and click on the Save Changes

S - Documents Icon:  This icon will allow you to upload a file to the clients record.   We have seen this used for uploading tax exempt forms, seating arrangements, maps, etc.   Anything that you will need to keep attached to the client's record.

T - CRM Tabular List Icon:  This icon is used to export your CRM list.
