Overview

The Past Billing Transactions Report shows each charge made to the payment method you have on file for your CaterZen monthly subscription fee and for adding funds to your Variable Service Fee Balance. This report is most commonly used to verify when your monthly fee was billed, reconcile accounting records, or review charges across multiple locations.


Note: Variable Service Fees are charges to your credit card that keep your available balance at or above the minimum threshold needed to cover items like faxes, phone notifications, and other variable expenses. These charges occur whenever your balance falls below the minimum on-hand amount set for your account.


To view a full invoice-style breakdown that includes all CaterZen Variable Fee charges (SMS, fax, phone, and more), use the Monthly Statements report instead.



Accessing the Report

  • Go to the More tab in your CaterZen account.
  • Select ReportsAccount Billing Reports.


  • Click Past Billing Transactions.
  • Choose your Date Range
  • Click Generate Report.


Exporting or Sharing

  • The report automatically downloads as an Excel file when generated.

  • You can also email the report to yourself or another team member.


Understanding the Report

Your downloaded file will include:

  • Transaction Date – The day the fee was charged

  • Amount – $$ Amount charged 

  • Type – Either Monthly Billing Transaction or Variable Fees Transactions

  • Status – Confirms whether the payment processed successfully



Common Use Cases

  • Matching monthly fee charges to your internal accounting records

  • Reviewing charges when preparing month-end reconciliations

  • Confirming billing activity after updating a payment method


Best Practices

  • Run this report at the end of each month to keep your accounting records aligned.

  • Save copies of monthly exports if your accounting team prefers internal documentation.

  • Use the Monthly Statements report when you need a full invoice-style summary of all CaterZen charges.
